Vacancy description

Main areas of responsibility:

  • Answering general queries by telephone
  • Greet clients/visitors to the organisation in a professional and friendly manner
  • Preparation for training courses and monitoring of courses. Liaising with other organisations and delegates ensuring booking forms are completed and returned
  • Co-ordinate collation of packs for workshops
  • Ensuring all feedback forms are returned/collated and when required evaluation reports produced
  • Writing and dispatching letters
  • Sorting and opening post and preparing post for dispatch
  • Monitoring and responding to e-mails
  • Maintaining records, filing systems and computer files
  • Scanning confidential information to file
  • Shredding information as required
  • Photocopying documents
  • Ordering stationery
  • Ensuring work areas are clean and tidy
  • Attend training sessions as advised
  • Undertaking any other tasks/duties as may be reasonably required

These are the key duties and responsibilities for the post and they are subject to regular review.  Any significant changes to the role will be subject to consultation.

Desired skills

  • Excellent organisational skills and timekeeping
  • Outstanding communication skills and a good telephone manner
  • Strong IT skills and knowledge of basic accounting principles
  • Intermediate to advanced level of skill using Microsoft Office programs
