We are recruiting for a Logistics & Transport Administration Apprentice to work at the Science and Technology Facilities Council’s (STFC) Rutherford Appleton Laboratory (RAL)  in Oxfordshire. This is a two-year Level 3 Business Administrator apprenticeship supporting transport and logistics section.

We are looking for an apprentice to join our team who is enthusiastic and interested in completing a Level 3 Business Administrator apprenticeship. You will be based with the transport and logistics section in Rutherford Appleton Laboratory in Oxfordshire where your daily duties will be varied and complemented by formal training with a local training provider, Abingdon & Witney College. During the 2 years of the apprenticeship, you will develop the knowledge, skills and behaviours required to successfully achieve a Level 3 Business Administrator apprenticeship.

Key Responsibilities 

Working closely with the Logistics and Transport Manager, L&T Co-ordinator and the wider team, you will undertake a range of administrative duties and be responsible for delivering responsive services to STFC customers, via phone, in person and by email:

  • Manage taxi bookings and allocations to in-house driver team and  taxi suppliers, providing schedules to drivers and suppliers, communicating with STFC customers and adhering to the contractual requirements
  • Secure quotes for non-standard taxi  journeys
  • Obtain quotes for mini bus/coach bookings
  • Recording complaints and services issues to enable effective contract management
  • Day to day managing the Transport inbox & phone
  • Providing administrative support directly to the Logistics & Transport Manager
  • Recording and collating of financial recharge information for Transport & Logistics Services
  • Supporting the Administration Coordinator with preparing invoices & recharge journals
  • Provide project related support and assistance.
  • Adhere to all departmental procedures and Standard Operating Processes
  • Champion the Logistics & Transport Service
  • Contribute to identifying improvements to operations, systems and process.

Qualifications, Knowledge and Experience

Essential

  • 5 GCSE level passes (or equivalent), subjects to include English and Maths (grade 5 min)
  • High level of numeracy and literacy
  • Able to organise and create order
  • Creating and adapting spreadsheets for operational requirements, IT literacy and must have good working knowledge of Microsoft Office (Excel, Outlook, Access) and web based applications.

Desirable

  • Experience of delivering customer service /  administrative support in a busy environment and staying calm under pressure
  • Undertaking financial processes and transactions, e.g invoicing and recharging
  • Experience in recording, maintaining, managing and extracting data from IT systems.
