Job summary

We are seeking an enthusiastic apprentice to join our Employee Services Team as we deliver recruitment and transactional HR services for the Commissioning Support Unit (CSU), and our Clinical Commissioning Group (CCG) customers.

This is an exciting time to join the team as our customers transition from CCGs to ICBs (Integrated Care Boards).

You will be a people orientated person driven to provide excellent customer service. As you will be working as part of the wider Employee Services Team, you must be a team player, but also be self-driven to meet deadlines through independent tasks. Recruitment is a fast-paced environment so organisational skills are a must.

Please note that we are currently working from home remotely, but you may be required to travel to our Leicester or Warwick office if required. For example to collect IT equipment or to attend a meeting.

This role is a fixed term apprenticeship. Although the role is banded at a Band 3 level, Annex 21 of Agenda for Change applies;https://www.nhsemployers.org/publications/tchandbook#annex-21---25

This means your salary will be as follows;

Year 1- 70% of the top of the pay band - £15,243.90

Year 2- 75%of the top of the pay band - £16,332.75

Where this results in less than National Minimum Wage, you will be paid the National Minimum Wage for your agehttps://www.gov.uk/national-minimum-wage-rates

Main duties of the job

The Apprenticeship will include studying for the Level 3 CIPD qualification and the successful candidate would need to be highly committed to study whilst working, as required, to complete the apprenticeship;

This apprenticeship is ideally suited for school leavers interested in joining the NHS or People Profession. We are looking to develop the successful candidate, providing the training and support required to achieve your best.

Please note that applicants that have already completed the Level 3 CIPD qualification are not eligible to apply for this role.

Main duties will include;
  • Providing administrative recruitment support from publishing adverts through to on-boarding candidates
  • Ensuring the organisation complies with relevant legislation throughout the on-boarding process
  • Processing data on our Electronic Staff Record (ESR) to ensure staff are paid correctly
  • Acting as the first point of contact for recruitment queries from candidates and recruiting managers
  • Regularly liaising with HR Business Partners to provide recruitment updates and solving complex queries

Job description

Job responsibilities

  • Act as a first point of contact for all candidates, Recruiting Managers, customer queries and be expected to participate in occasional meetings.
  • Deal with all aspects of recruitment and HR Transactional processes, including the utilisation and administration of E-recruitment system.
  • Undertake a full range of pre-employment checks for all successful candidates in line with the appropriate policies and procedures
  • Ensuring all ID checks are compliant with NHS standards, Right to Work, DBS checks; liaising with external bodies such as UK Border Agency to verify immigration status of applicant
  • Medical Clearance
  • Obtaining and chasing References
  • Conduct applicant check with Professional Body Council websites for up to date registration of candidates and reporting any discrepancies to Recruiting Manager
  • Conduct DBS checks where relevant and conduct renewal checks for existing staff, where requested. There will be a requirement to chase up information where is it not provided. The postholder will alert the Recruiting Manager and/or HR Business Partner of any DBS issues.The post holder will also conduct DBS checks for external customers.
  • Draft all contracts, non-standard contracts, bank agreements and secondment agreements for signature. This paperwork will be issued to the candidate, along with all appropriate new starter documentation and processed once returned.
  • Chase up the return of signed contracts where candidates have not returned, ensuing a recruitment is not closed until a signed version has been received.
  • Inform Recruiting Managers of any issues with consistency of applying the recruitment NHS terms and conditions, providing advice, if appropriate e.g. starting salaries, continuous service etc.
  • Deal with any paperwork relating to extensions or amendments to contracts and secondments, issuing contract amendments letters where appropriate.
  • Request reports from NHS Pension Scheme Online to confirm continuous service/pension contributions, when required.
  • Regularly calculate continuous service dates for contracts and ad hoc queries, being confident in reading Inter Authority Transfers and pension statements.
  • Ensure accurate and timely completion of all new starter documentation, updating ESR and maintaining regular contact with payroll teams. Adhering to strict deadlines.
  • Provide administrative support to the Employee Services and wider HR team; using self-initiative and judgement as required
  • Create high quality documents including inputting and amending data on spread sheets, updating relevant database systems such as ESR and assisting with the compilation of workforce information
  • Act as a first point of contact for the provision of comprehensive and timely HR advice to customers: managers, employees and external bodies, on the e-recruitment system and general recruitment process, Agenda for Change terms and conditions, Payroll, annual leave, and other adhoc queries. This includes ensuring that a professional customer service is provided in line with appropriate policies and procedures in person, on the telephone and by email.

Essential

  • Good standard of education, GCSE Maths and English at Grade C or above or equivalent
  • Willingness to achieve Level 3 HR Support Apprenticeship
  • Experience of following administrative processes which include deadlines
  • Demonstrate effective keyboard skills using Microsoft Office


Desirable

  • Experience of working within a busy office environment
  • Experience of using HR Management / other similar Information Systems
  • Experience of working to Key Performance Indicators
