Main duties of the job
- Provide administrative support to the Business Support Officer and the wider Business Support Team in the retrieval of information in relation to key performance indicators.
- Provide a full range of office support systems including photo-copying and scanning.
- Collate and input data in a timely manner into both manual and electronic systems.
- To interpret simple spreadsheets, have a good eye for detail and be able to spot data errors.
- Prioritise own workload and meet deadlines in order to meet the requirements of the post.
- To open, sort and distribute post (incoming and outgoing), faxes, memos and other messages.
- To be proficient in the use of Microsoft Office programmes including Word, Excel, PowerPoint, and Outlook.
- Handle incoming and outgoing telephone calls in a polite and efficient manner, referring telephone queries to a more senior colleague where appropriate. Taking accurate messages and passing them to the appropriate person in a timely manner.
- To assist the Business Support Officers in the general preparation of meeting paperwork and support minute taking as and when required.
- Support with regular stock checks and ordering/receipt of office stationery.
- To be available for regular supervision by the Business Support Officer.
- To participate in training and workshops in order to achieve NVQ qualification any other training relevant to role.
- Complete surveys as required e.g. staff survey.
- Demonstrates own activities to new or less experienced employees.

The post-holder will be part of a team, responsible for providing a quality administrative service to the Community Mental Health Services supporting the Business Support Officers in the monitoring of performance against the Trusts key performance indicators. To meet the needs of the service, the post holder may be required to work in other administrative areas as appropriate as directed by the line manager.
