Job summary

Gynae is looking for 2 Apprentices to join the busy Admin team. We are always looking to develop our service our patients and our team and these new roles demonstrate our desire to Grow our own.

We are looking for candidates who are wanting to help improve and support patient pathways whilst learning and obtaining a BAL3 qualification.

Our team are friendly and supportive and we are wanting to provide a variety of opportunities to see what Gynae and Admin has to offer.

We welcome informal visits as this helps build understanding of the roles and our team. Please contact Alaya Khan, Admin Manager to arrange a visit.

The post holder will become fully conversant and competent in providing administrative support within the Gynae Admin team.

Training will involve working alongside the Admin team and wider Gynae team within the different areas of the department, working under supervision.

Gynae is across City and QMC campuses with a variety of settings from 2ww pathways, oncology, general, vulval and emergency . Please note, Obstetrics /Maternity services are a separate entity to Gynae.

Main duties of the job

To provide general office and administration support service to the team.

To undertake general office duties, for example, answering the telephone, taking messages, filing, photocopying, handling incoming and outgoing post, typing etc.

To communicate with staff and visitors on a daily basis, providing support where required and working to help resolve any issues.

Assist the Gynae Admin team to arrange and administer meetings / conferences /events, including booking venues, the preparation and distribution of papers.

Under supervision produce accurate letters, minutes, reports and maintain databases etc, as required.

Under supervision develop and maintain administrative support systems, including bring forward files and manual and electronic filing systems, ensuring that systems are effective in their use and are reviewed regularly.

To assist with the ordering of supplies as appropriate.

Assist in the tasks and duties of other staff within the team during periods of staff leave/absence to ensure that an effective quality service is maintained at all times and contributing to the work of the team.

To store confidential information relating to confidential matters and enquiries securely.

To undertake an annual appraisal to identify any necessary personal development required to meet the objectives of the Team, and to further develop the post holders' skills and role.

The post holder will be required to undertake mandatory and role specific training.

About us

The apprentice role is a key role with the Gynae team.

You will be supported to learn on the job, this will include a range of customer service and business admin skills. With the opportunity to work with a large number of multi disciplinary staff, both clinical and non clinical.
