Job summary

37.5 hours per week. An exciting and challenging opportunity has arisen within the SystmOne Team. We are looking for an enthusiastic, highly motivated individual who can help the team deliver good quality effective information to support the organisation. The successful applicant will work within the SystmOne Team to provide front line support on the clinical system help desk and to ensure the data quality held within the systems managed by the team is maintained at a high level.

Main duties of the job

You will be an excellent communicator with a high level of telephone skills. You will be expected to interpret and resolve end user issues with the systems managed by the SystmOne Team and to escalate problems as appropriate. You will have a good working knowledge of the Microsoft Office packages.

The primary base for the post will be home based but the post holder may be required to visit sites of the organisation as and when required. The working hours will be between 8:30am 4.30pm, Monday to Friday. Candidates would be expected to have good IT skills, in particular Microsoft Outlook, Word and Excel.

As an apprentice you will receive full training in a range of administrative and IT processes and procedures. Support will be provided by the SystmOne Team and our external learning provider. We will provide mentoring and support alongside training on our processes and systems and the opportunity to gain experience.

This apprenticeship provides an excellent opportunity for personal development and potential future employment options if you are interested in a career in support services within a health care provider.

Your apprenticeship will enable you to work towards and complete a Customer Service Practitioner Level II qualification.

The post holder will have responsibility for supporting users in the correct use of the supported systems, maintaining the system and resolving queries raised by clinicians.

The teams primary function is to support clinical staff with the information they require to make sound business and clinical decisions that will improve the effectiveness of all services. In addition, the team produces new documents, including templates, letters and questionnaires on SystmOne to assist our front line staff.

SCOPE AND RANGE

The post will be responsible for assisting the day to day running of the systems helpdesk.

The operational duties of the post will primarily focus on ensuring that calls and emails to the systems helpdesk are responded to in a professional and timely way. The post holder will also be expected to log all queries on the helpdesk software used for future analysis.

The Systems Facilitator Apprentice will be expected to assess the nature of the call and resolve if possible. Otherwise the call will be logged and allocated to a more senior member of the team for resolution.

MAIN DUTIES/RESPONSIBILITIES

Organisational

To provide a front line support service for the electronic patient record system managed by the Systems Team.

The post holder is responsible for assisting the systems team with troubleshooting and affectively resolving issues with the systems managed by the team.

To assist with maintaining the efficient running of the support desk tool.

To assist with the maintenance and monitoring of user access to the systems in accordance with Livewell policies and guidelines.

To escalate any issues arising from helpdesk calls to the Systems Coordinator.

To contribute to the operational support of the systems used by the SystmOne Team.

Leadership and Management

To communicate and escalate issues to the supplier, TPP, when required.

The post holder is responsible for supporting and amending data errors as requested by the Systems Coordinator on a day to day basis.

The post holder may be requested to manage bulk data correction errors as directed.

To take the necessary corrective actions to ensure the Information Team can rely on the information available to them from managed systems. This includes resolving issues identified by the Systems Analysts.

To employ good communication skills so as to be able to converse with staff who are not familiar with technical vocabulary.

To undertake other relevant duties as may be required by the Systems Team.

COMMUNICATIONS AND RELATIONSHIPS

You will be a proven and effective communicator, who will be liaising with all levels of staffing throughout the organisation in order to support their use of systems managed by the SystmOne Team.
