Job summary

This is an 18-month development opportunity for someone looking for a career in IT Procurement & fulfilment. The successful candidate will complete a Level 3 Digital Support Technician Apprenticeship

The post holder will work alongside our friendly team of IT Procurement staff at the CITS office in Redruth. An average of 20% of the working week will be spent on training and work-based projects, building up assessment evidence for your qualification.

The team provides IT advice and support to all NHS organisations in Cornwall. This includes best advice on equipment required for specific needs, arranging quotes, ordering and receiving equipment. Maintaining the asset register and allocation of asset numbers. Stock control, stock movement, preparation and delivery to NHS sites.

Main duties of the job

The post holder will spend an initial period training alongside our friendly team of staff at the CITS office in Redruth,

Your main duties will be to receive and process deliveries, moving theequipment to the relevant stock rooms maintaining accurate stock control and keeping the stock rooms tidy. Equipment will then be processed ready for installation which includes preparation of devices, unboxing, asset tagging, labelling and updating our call management and asset management system.

The role will also include general office duties such as filing, emailing, using Teams and Microsoft office, scanning paperwork, receipting goods into our finance systems. Liaising with customers regarding their orders both face to face and over the phone and speaking with suppliers and other CITS colleagues.

This role has a frequent requirement to lift and move moderately heavy equipment for which manual handling training will be given. On occasion the team may be required to deliver equipment to our various NHS sites around the county so a full UK driving licence is desirable.

The successful candidate will be a people person with good verbal and written skills with a positive attitude.

Job responsibilities

The post holder will assist their Line Manager in the provision of an efficient procurement service to the Cornwall and Isles of Scilly NHS communities.

Their responsibilities and duties will include: -Providing an up to date, accurate and timely quotation service from requests received through the CITS Service Desk.

Always keep information about Procurement related calls within the online call management system up to date.

Inform customers of CITS on progress of Procurement related calls.

Ensure that the IT Asset inventory kept within the call management system is accurately updated.

Ensure deliveries of stock are received, accurately recorded and secured effectively.

Ensure stockroom management is performed efficiently for annual purchases in excess of one million pounds.

Maintain accurate allocations of asset tags and installations records against delivered items.

Perform data entry tasks, accurately, on department systems as required.

Maintain records of journeys taken in department vehicles and ensure transport is regularly serviced.

Deal with regular Procurement related administrative tasks eg ordering ofconsumables, billing queries.

Assist with monthly recharges as required.

Maintain filing systems within Procurement in an accurate manner.

Deal with day to day issues which are brought to the attention of the Procurement Team, in close consultation with other team members.

Liaise with other Trusts and departments and customer organizations in order to provide a professional and effective procurement service.

Make full and effective use of the asset inventory and call management system to maintain records and provide accurate and up to date information on installations to management and customer organisations as required.

Communicate with other teams and colleagues in order to facilitate smoothinstallations, moves and changes.

To assist in the preparation of IT equipment for delivery to customers.

To deliver IT equipment to other Trust sites using Trust vehicles.
