The Apprentice Clerical Officer will provide efficient and confidential administration for Admissions
- Receive and process telephone messages in accordance with protocols.
- To action departmental post in a timely.
- Deal with enquiries from the general public and other disciplines of staff regarding queries from within the team.
- To deal with telephone calls, telephone messages and email enquiries from users of the service, efficiently and professionally.
- Display a professional attitude at all times when dealing with the general public and colleagues alike.
- To schedule patients' appointments that are attending the Pre-op department, allocating them to the appropriate member of staff and clinic.
- To gather correct patient notes to the correct department.
- To Cover any other jobs relevant to your role.
The post holder will also be expected to undertake a Level 2 Customer Service Apprenticeship.
This is a training post working full time (37.5 hours) across Monday to Friday. The post will come to an end on completion of the training programme, when it may become permanent as a Band 2 post.
Main duties of the job
- Provide administration support to the Admissions.
- Inputting and extracting information to and from computer based.
- Access other IT databases for previous involvement and obtaining information as necessary, liaising with Trust staff and other parties as necessary.
- Liaise with IT and other departments as required.
- Act as first point of contact for all communications to the department and deal with all such communications appropriately, including sensitive issues.
- Deal with enquiries from Trust staff, service users, patients and their relatives, outside organisations and the public. Both face to face and by telephone.
- Clerical duties within the department include typing, filing, processing incoming and outgoing mail - redirecting as required, photocopying etc.
- Sending receiving confidential internal and external e-mails.
- Order replacement photocopier and computer hardware as.
- Provide cover for colleagues in periods of absence.
- Attending meetings as required.
- Attend and participate in all training opportunities.
- Maintain the workplace in accordance with the Health and Safety at Work Act (1974) and comply at all times with the Trust policies and procedures.
- Any other tasks as requested by Line Manager / IDT Manager or Service.
