Job summary

The Administrative Assistant will be required to provide support primarily to the Trust Office Manager and other Executive PA's. The post holder will also be required to provide support on an ad hoc basis to the other members of the Executive Team. S/he will be required to undertake a full range of duties and responsibilities associated with the post, maintaining confidentiality at all times. A flexible approach to this post is required, as the duties will be varied.

The post holder will be based in a shared office in the Chief Executive's Office at the Liverpool Women's Hospital and will be expected to work as part of a team.

Main duties of the job

  • To provide a range of administrative support functions to the Trust Office Manager and Executive Directors' PA's
  • To assist the Trust Office Manager with gathering information for the Chairman and Chief Executive.
  • To maintain the central filing system for the Executive team and retrieve documents as required.
  • To assist the Trust Office with organising and co-ordination of meetings/events, as required.
  • To photocopy, collate and assist in the distribution of Trust Office materials, as and when required.
  • To maintain the stationery levels within the office.
  • To process orders for goods/ services via the Trust's Meditech Purchasing system, as required for authorisation by the relevant budget holder.
  • To undertake general typing duties as required, ensuring that all documents are produced in accordance with the Trust's corporate style.
  • To undertake any other routine or ad hoc duties, as required by the Trust Office Manager and other members of the Executive Team.
  • To maintain complete confidentiality at all times.
  • To undertake all mandatory training, as required and comply with all Trust policies and procedures.
