Job summary

An exciting opportunity has arisen within the Trust's Estates Department for a motivated Apprentice for anEstates General Office Administrator to join the department and support the Administration Team who support all the EMT team and the Estates Management.

The Estates Department delivery services to the NHS is of a high quality and value for money estates services across the Trust's property portfolio ensuring compliance with all Health & Safety Regulations, Fire Regulations, Water Safety & Legionella Regulations, Asbestos Regulations, Gas Regulations, Electrical Regulations, Mechanical guidelines and Building Control.

In March 2019, we were delighted and proud to announce that the CQC had awarded the Trust an overall "Outstanding" rating - the highest overall rating they can award.

We currently work from both Hospital and Community based premises, operating from approximately 30 sites to approximately 464,000 people of all ages and diverse backgrounds in the Stoke-on-Trent areas and across North Staffordshire. Our main Trust Headquarters is at Lawton House, Bellringer Road, Trentham, Stoke-on-Trent, Staffordshire, ST4 8HH.

Main duties of the job

To support the Estates & Capital administration and to provide an efficient Helpdesk support function across the team in order to provide seamless customer service. The role will work flexibly across the Premises Portfolio, while holding a primary assignment.

Provide and receive routine information requiring tact and persuasive skills to include exchanging information in an appropriate and professional manner, requiring excellent oral and written communication skills.

Acting on correspondence, responding to, or referring to the appropriate person in a matter of urgency.

Prepare and produce reports, correspondence and other documentation using audio, copy typing and M/S packages, such as Excel, Word and Powerpoint, to the required standard and format.

Answer telephone, screen callers, relay messages and greet visitors.

Providing routine advice on areas of knowledge/expertise, in a manner relevant to the audience and topic area (i.e. CAFM system, helpdesk duties, other relevant corporate information/duties as deemed necessary).

Carry out duties and responsibilities with limited supervision, making decisions and establishing own work priorities.

Preparation/completion of routine documents, including letters, mail, tender packs, reports, presentations and forms e.g. purchase order requisitions, and all other corporate documentation as deemed necessary.

The Estates Team is part of the Corporate Directorate and supports all Directories in the Trust. The Estates Team consists of approximately 25 staff and is a reactive service with frontline staff. The Facilities Team are much wider and work in conjunction with the Estates Teams.
