Job summary

Are you an enthusiastic, motivated person looking to start a career in Customer Service / Administration?

Would you like to join a small but very busy Admin Team working as a Receptionist while undertaking a Customer Service Level 2 Apprenticeship?

Your primary role will be to work with our existing admin team. Booking appointments sending out appointment letters; assist with stock ordering; general photocopying using our patient information systems to add patient information and supporting the nursing team.

Full training will be given for this varied role where there is much to learn. Experience in using computer software would be desirable, however training on in house systems will be provided.

You will be employed on a 18 month fixed term contract on 37.5 hours per week (Monday to Friday - 9am - 5pm). This post is to assist 4 areas, Dove/Day therapy unit/Coate water unit and Medical day unit based on our Great western hospital site.

Main duties of the job

Ability to work in a team environment is essential. A confident approach and the ability to use your own judgement are required in dealing with patients on the telephone and face to face, so any customer facing experience would be advantageous. This could be from a paid job or voluntary experience.

Working in an Administration Teams to efficiently undertake basic administration and clerical duties which may include the following duties as directed:

To maintain strict confidentiality at all times and handle sensitive information in a mature manner

Data input, data extraction, photocopying, filing and typing duties as directed. To accurately enter data into our software system as appropriate and maintain filing systems in line with organisational Policies and Procedures.

To deal with internal and external post and emails on a day-to-day basis, assist with incoming and outgoing post tasks and to collect, sort and distribute incoming/outgoing mail.

To liaise with other teams/departments regarding patient treatment information.

We have a dedicated team based in the Academy, which is the Trust's learning and development centre who will support you in your Apprenticeship programme. They will work very closely with you, your manager and Apprenticeship provider to support learning objectives and workplace goals.

You will also be entitled to Annual Leave holiday inclusive of public holidays. As an apprentice with Great Western Hospital, you will also have the opportunity of a free Swindon Bus pass for the duration of your apprenticeship or equivalent monetary value towards a Stagecoach pass.
