Driver Hire Twickenham are looking for a Business & Administration Apprentice to start work immediately with our customer who are a well-established and respected road transport company.
The perfect candidate will need to be able to support the business in ensuring the excellence of all administrative functions of our customer. Ensuring that the transition from job enquiry to invoice paid maximises efficiency and financial opportunity and that customers are provided with both proof of delivery and invoice promptly and accurately.
General Transport Tasks
* Take information from an email enquiry and create a job on the Transport Management System (Mandata).
* Job sheets will be used by the driver as a delivery/collection note, the driver must be given this along with customer paperwork for signature. It must be accurate and contain all the necessary information to carry out the job efficiently.
* Constant communication with the driver is imperative to be able to track progress and let the customer know if there is a problem; waiting time needs to be advised asap to ensure payment.
* Drivers must be de-briefed and signed out, it is essential that all paperwork is collected and tidied to ensure payment.
* Proof of delivery should be scanned or emailed to customers where necessary.
* Fuel receipts are to be collected and filed in correct folders.
Pallet Service Tasks
* Input collections and deliveries onto the Palletforce Alliance system.
* Use Palletforce Alliance to update any depots and customers that would like to know where their consignment is.
* Scan all POD documents onto Palletforce Alliance.
* POD entry by raising daily delivery and POD performance report and manually input POD data that's missing.
* File all other depots PODs into envelopes to go with the trunk.
* File our own customers PODS into the internal filing system.
* Book in relevant consignments for next day delivery.
Business Administration Tasks
* Collect and collate drivers run sheets.
* Ensure driver forms are kept in good supply.
* Field cold calls from sales people and take messages for management.
* Keep up to date with job sheet storage to enable easy access for customer queries.
* Help to keep office clean, tidy and well organised.
* Support management in daily duties and specific projects.
Key Skills
* Accuracy and attention to detail.
* Good reasoning and information retention skills.
* Basic understanding of computer software such as MS Word etc.
* Geographical knowledge of the UK, including postcodes is an advantage.
* Flexible approach to an evolving role with a desire for growth and success.
