Employer Description

Addaction provide friendly and expert advice on drugs and alcohol for young people aged 10 to 24.

Young Addaction support young people to understand the effects of their substance misuse and the harm it can cause to them and the people around them. They access support for advice and information.  Staff can offer young people a safe place to talk about any issues they need help with.

Travel Information: Nearest Station is Faversham Train station which is around  10 minutes walking distance. Many local buses.

 

Description of Vacancy

  1. To work in close collaboration with the local management, service and administrative staff to provide an efficient and high quality administrative service
  2. To undertake relevant NVQ (or equivalent) studies as part of the role and/or with designated academic institute in compliance with National Apprenticeship Framework.
  3. To provide information services to service users via telephone, post and in person
  4. To be committed to the principles and practice of equality of opportunity to service users and staff
  5. To communicate Addaction’s vision and deliver its mission, corporate strategy and business plans

Main Responsibilities

Service Delivery

  1. Deal with correspondence, receive and process referrals as required by the local management and administrative team.
  2. Attend all appropriate internal and external meetings.
  3. Monitor, co-ordinate and arrange appointments (if applicable) for the Service team as required and be the first point of contact in relation to appointment difficulties for service users.
  4. Collect, input and manage data related to the initial referral process and booking of appointments (if applicable).
  5. Support the team in fostering and maintaining effective, collaborative and positive working relationships with local agencies and to support the promotion of the service to local communities.
  6. Assist the Service in telephone work, dealing with general enquiries, logging messages, referring on to an appropriate practitioner/service.
  7. Photocopy, scan and file as required.
  8. Maintain and update information sources as applicable.
  9. Cover the work of administration staff in their absence.

  1. Confidentiality: Ensure confidentiality at all times, only releasing confidential or personalised information externally with prior consent from a line manager.
  2. Data Protection Act: To comply with the requirements of the Data Protection Act and its amendments to ensure integrity and security of information entrusted to Addaction.
  3. Safeguarding: Ensure the organisational and individual statutory and organisational responsibilities are met in respect of safeguarding Children & vulnerable adults.
  4. Conflict of interest: All applicants/employees in any post within Addaction are required to declare any involvement either directly or indirectly with any firm, company or organisation that has a contract with Addaction. Failure to do so may result in an application being rejected or dismissal after appointment.

  7. Quality Assurance: To ensure all activities are delivered in a way that supports and maintains Addaction’s registration with the Care Quality Commission and appropriate agencies in the devolved administrations.
  8. Any Other duties: To undertake any other duties that are reasonable and are commensurate with the role as directed by Executive Director of Operations in line with the changing needs of the service and legal requirements.
  9. Self-Development: To ensure continuous professional development both personally and professionally through training supervision and other appropriate methods.

Hours

Working 9am to 5pm, Monday to Friday.

 

Skills Required

Demonstrable experience of good verbal and communication skills

Demonstrable experience of IT effectiveness

Ability to work well on own initiative

Good prioritisation skills with the ability to manage competing/ conflicting demands

 

Personal Qualities

Good written and communication skills

Good IT skills, including Word, Outlook & Excel

Effective interpersonal skills and ability to relate to a wide range of people

Be able to respond well to change

Flexible and adaptable

 

Qualifications Required

Maths & English GCSE Grade C or above or equivalent Qualification

Willingness to work towards relevant qualifications required for the apprenticeship

 

Training Provided

On the job training with the employer whilst working towards the Apprenticeship Framework – consisting of the Intermediate NVQ Level, Technical Certificate and Functional Skills if appropriate.

Regular work based assessments/observations carried out by Kent Training & Apprenticeships Tutor Assessor, to determine competency and meet with Awarding Body standards.

 

Important Information
