Vacancy description
The Administration assistant is responsible for ensuring all Heart Medical administration duties are performed within set targets and to provide support through set processes to frontline crew and managers.
The Administration Assistant will support all three business areas:
- Ambulance services
- Event medical services
- Training services
Main duties and responsibilities:
- Timely and accurate data entry on to the following systems:
- Bookings
- Finance
- Training
- Business Tracker
- Help to plan, develop and change operational rotas and timesheets
- Handle customer queries, bookings and quotations
- General administrative duties, including filing, scanning, printing
- Prepare, collate, check and process training course administration including the distribution of course certificates
Assist in the planning of recruitment and HR processes including:
- Arranging interview times
- Collating documents
- Personnel files
- Management of job adverts
- Procurement of operational and office supplies
- Prepare, collate, check and process event administration
- Fleet administration and planning
- Assist with administrative elements of business development eg. mail shots
- Keep meeting minutes or trackers of key internal meetings
- Attending public events to provide administrative support to frontline staff and operational managers
- To perform any other duties commensurate with these responsibilities, the grade of the post and skill and qualifications of the post-holder
