Weald of Kent Grammar School is a selective girls grammar school, based in Tonbridge and Sevenoaks.

Ofsted judges the school to be ‘outstanding’. The school has high standards and ensures that the learning experience for their students moves with the times whilst maintaining the traditions of good manners, discipline and respect for others.

The school has Teaching School and Thinking School status.

Description of Vacancy
To provide efficient and effective HR administration in accordance with agreed School’s, Local Authority and National policies and procedures; ensuring compliance with all relevant legislation and maintaining confidentiality and high professional standards at all times.

Specific Duties and Responsibilities:


Assist with putting together job application packs and person specifications. 
Place vacancy advertisements on the appropriate websites, monitor applications and respond to communications from applicants. 
Send out invitations to interview and regret letters. 
Apply for references and make follow up calls to referees as directed by the Senior HR Officer. 
Produce interview timetables, as directed by the Senior HR Officer, and prepare candidate welcome packs. 
Administer appointment letters, new starter paperwork and contracts of employment.

HR/Personnel Records

Create and maintain personnel files for all staff, filing employee and recruitment documents in line with GDPR. 
Support the Senior HR Officer in ensuring the Single Central Record is kept up to date at all times. 
Ensure that all other employee records in the school’s database (SIMS) are accurate and updated when required. 
Issue and track absence forms, input data into SIMS and update absence reports for payroll purposes.

General Duties and Responsibilities

With the Senior HR Officer, ensure accurate and timely information and instruction is given to SPS. 
Produce letters for internal changes such as contractual changes, probationary confirmation, leavers and salary reviews under guidance of the Senior HR Officer. 
Responding to general HR queries by phone, email, post and in person in a timely and efficient manner. 
Support the Senior HR Officer and other departments (when required) with other general administration tasks. 
General filing and shredding. 
Undertake training and development activities relevant to the post.

£8,140 per annum
(£5 per hour)

37 hours per week
Term Time only (39 weeks)
Monday to Friday

Skills Required
Whilst experience is not a requirement, the following attributes would be advantageous:
Experience of providing excellent administrative support 
Experience of working in a customer service environment 
Experience of managing customer records, contracts, databases and filing systems

Skills & Knowledge 
Effective and accurate communication skills – orally and in writing 
Strong ICT skills 
Good numeracy and literacy skills 
Ability to work unsupervised as well as to work effectively as part of a team 
Efficient and effective administrative, organisational and personal management skills 
Basic knowledge of policies and procedures relating to child protection, health, safety, security, equal opportunities and confidentiality (training will be provided in these areas)

Qualifications Required
Minimum of 5 GCSE’s including English and Maths at Grade 4 or higher or equivalent qualifications in these subjects.

Training Provided
On the job training with the employer whilst working towards the Apprenticeship Framework – consisting of the Intermediate NVQ Level, Technical Certificate and Functional Skills if appropriate.

Regular work based assessments/observations carried out by Kent Training & Apprenticeships Tutor Assessor, to determine competency and meet with Awarding Body standards

Additional Details
As of 1st April 2018, the NMW for Apprentices is £3.70 per hour. This applies to 16 - 18 year old Apprentices and those aged 19 and over in the first year of their Apprenticeship. For all other Apprentices the Apprentice National Minimum wage appropriate to their age applies.

The wage for Apprentices applies to both time spent on the job plus time spent in training.
