Principle Accountabilities/Tasks:

Primarily to assist in the delivery of existing projects/contracts:
  • Formatting of Word documents such as reports, following corporate or client templates and ensuring a professional finish;
  • Creating presentations in PowerPoint or charts and tables in Excel;
  • Issuing subcontracts to contractors, dealing with invoicing;
  • Support for organising events (e.g. sourcing venues, creating agendas, delegate packs, badges, organising travel etc.) or other research/administrative tasks;
  • Phone calls (including cold calling) and correspondence with stakeholders;Organising mail-outs (through liaison with print room);
  • Proofreading documents/reports;
  • Maintain project systems and databases and follow all internal quality protocols;
  • Carry out administrative duties such as filing, copying, binding, scanning etc

Provide other ad hoc administrative duties as required. These might include:
  • Coordinating diaries/meetings, booking meeting rooms, or hiring venues;
  • Booking travel and hotels domestically and internationally;
  • Supply financial information to finance team e.g. reconciling credit card statements.

Any other reasonable administrative duties that may be required, linked to business needs.

To work closely with the management team of senior staff who are developing the business, and the wider company. To liaise with internal services like creative services, print room and finance / HR. To link with staff across the wider Ecorys group communications and digital projects

Requirements and prospects

Desired skills

  • Advanced Word, Outlook, Excel and PowerPoint skills
  • Knowledge of one or more additional European language
  • Previous experience in administration
  • Be able to demonstrate an interest in developing a career in a consultancy environment
  • Ability to work to multiple deadlines and prioritise work, with proven experience in a demanding environment
  • Experience/knowledge of the public sector
  • Ability to coordinate tasks with other teams to ensure effective delivery
  • User of MS Visio, Adobe, and/or other word processing or design packages
  • Experience of using travel bookings systems or willingness to learn

Personal qualities

  • Excellent organisational skills with a very high degree of accuracy and attentionfor detail
  • A flexible attitude and a tolerance for repetitive tasks
  • Able to work on own initiative and as part of a team based across three office locations
  • Demonstrating excellent co-ordination and organisational skills

Desired qualifications

  • 5 GCSEs graded A-C/9-4 including English Language and Maths or equivalent*
  • A level 3 qualification in Business or Business Administration
