Description of Vacancy
The position requires a good organiser who is interested in all aspects of administration to assist in various areas of the practice.
We are looking for someone to provide general administration support in various areas of the practice. There will be general office duties and the candidate will be offering support to our team, carrying out administration related tasks.
This is a varied and busy role; the applicant will assist in all areas of business administration but will be based in finance. Duties will include;
Purchase ledger assistance (including staff business expense claims)
General assistance to the Senior Financial Accountant with any ad-hoc tasks as required
Assistance with customer collections
Archiving prior year documentation
General assistance to the HR Administrator/Office Manager with any ad-hoc tasks
Provide reception services
Handle mail
Answering the main line
Wiki maintenance
File contracts and help maintain tracker
Ordering office supplies and office snacks
Booking couriers as required for office/events
Produce minutes in meetings
Ensuring the kitchen areas are kept tidy and the coffee machines are cleaned once a week
Wage
£138.75 per week (based on £3.70 per hour)
Hours
Monday – Friday 9am to 5:30pm with a 1 hour lunch break unpaid.
Skills Required
Must be able to talk, listen and speak clearly on the telephone
Be able to maintain confidential information
Be able to work independently
Excellent verbal and written communication skills, including ability to effectively communicate with all levels in the organization
Attention to detail and accuracy with information
Proficiency with general office PC applications (i.e. MS Word, MS Excel, MS Access, MS PowerPoint) and comfort with learning new applications as required.
Team player mentality with a desire to make an impact in a growing company
Must be able to work under pressure and meet deadlines, while maintaining a positive attitude
Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
Qualifications Required
Maths & English GCSE Grade C or above or equivalent Qualification
Training Provided
On the job training with the employer whilst working towards the Apprenticeship Framework – consisting of the Intermediate NVQ Level, Technical Certificate and Functional Skills if appropriate.
Regular work based assessments/observations carried out by Kent Training & Apprenticeships Tutor Assessor, to determine competency and meet with Awarding Body standards.
