As a Portfolio Apprentice, your main purpose will be to provide administrative support to the Programme Management Team, supporting them in ensuring the organisation meets its statutory public involvement duties and to also provide administrative support on a range of projects and a range of areas across this agenda. You will also help enable a two-way open flow of information between the CCGs (Clinical Commissioning Groups) and its public and stakeholders that is accurate, timely and can inform decision making and policy.

Main duties and responsibilities:

To provide administrative support to the Programme management team

  • Establish and oversee efficient administrative and business systems to support the directorate.
  • Assist the Programme Management team in the proactive and reactive management of the media; responsible for managing the press cuttings service.
  • Assist the programme management team in the production of internal and external publications; helping to draft copy, proof read; source external suppliers for design and print.
  • Assist the Programme Management team in the management of website and social media content; acting as a content manager for internal and external websites and monitoring social media activity relevant to the eight CCGs.
  • Provide an excellent telephone and face to face manner to all customers and staff. Demonstrate flexibility and professionalism at all times when dealing with customers and fellow staff.
  • Adhere to agreed policies and procedures for the sign off of all programme management processes.
  • Ensure all work is delivered to agreed standards and timelines, showing initiative and motivation at all times. Embrace your own annual appraisal, setting your personal objectives and development plan and providing constructive feedback to assist with other staff’s development.
  • Participate in regular team briefings and build effective relationships with colleagues at all levels through open communication and constructive feedback.
  • Deliver your objectives in a competent and professional manner at all times.

Personal Development:

The post holder will be expected to:

  • Participate in any development programmes commissioned by the directorate/ collaboration
  • Participate in PMO (Project Management Office) development and skill-building within the wider PMO team
  • Undertake any agreed programme of personal development to meet individual learning needs in order to further develop knowledge, skills and expertise.

Desired qualifications

  • It would be desirable for the successful candidate to hold GCSE, or equivalents, grades (A*-C)/(9-4) in English and Maths.
  • However, if these have not been achieved, Key Training will provide support and up skill in these subjects through Functional Skills, which will be a requirement.

Future prospects

  • Potential permanent position available for the individual upon successful completion of the Apprenticeship programme, if hard work has been shown throughout.

Training to be provided

  • Business Administrator Level 3
  • Functional Skills in Maths and English (If required)

This apprenticeship programme will be delivered and completed in the workplace, meaning there is no required day release to college. Upon starting the apprenticeship programme, the successful candidate will be allocated a training consultant who will visit them in the workplace.

The apprentice will have regular contact from their allocated training consultant and will be allocated time within their working hours to complete the work that is set for them as part of the apprenticeship programme.
