We are a busy NHS GP Practice serving the local community of Hamstreet, providing healthcare and preventative treatments. Ensuring each patient individual needs and experience are our first consideration and at the heart of everything we do.
This practice is also a training practice for both GPs & nurses.
DESCRIPTION OF VACANCY
We are looking for an enthusiastic, motivated apprentice medical secretary to join our team. Primarily the role will be to develop the skills to provide secretarial, administrative and dispensing support to the GPs, practice manager and current secretarial team within the surgery. We are seeking a candidate whom is eager to expand their own career with the enthusiasm to support a changeable environment. The successful candidate must have a flexible approach, possess excellent communication skills, must be reliable, well organised and is able to work as part of a team and independently.
To develop an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.
To learn to Readcode patient condition in emis via the docman workflow folder.
To assist the practice manager & team leaders with all clerical and administrative duties.
To make appointments, bookings and admissions as required.
To liaise and arrange meetings (to include the booking of rooms) as required and to attend meetings and take minutes.
To inform patients of their test results
To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure. File patient records and correspondence in patient medical records.
To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
To maintain the computer clinic system in an accurate and secure manner.
To assist with the gathering of statistics and information when required.
To assist with cover for members of the secretarial team during periods of sickness and annual leave. In liaison with the clerk responsible, maintain adequate supplies of office stationery in order to perform secretarial duties.
To take the evening post
To receive and dispatch mail and maintain a pending system.
Distributing & processing prescriptions
Managing patient requests in person, on the phone and via written communication Post Ensuring confidentiality and data protection is observed at all times Photocopying
£6.00 per hour
Mon 1:30 – 5:30pm ½ hour lunch 9am -1pm
Tue 9am – 5:30pm ½ hour lunch
Wed 9am – 3pm
Thur 9am – 2:00pm ½ hour lunch 14:30 – 17:30
Fri 9am – 5:00pm ½ hour lunch
All lunch breaks are unpaid and for ½ hour
Total of 37.5 paid working hours per week
Good communication skills, both written and verbal.
Task driven, confident, attention to detail, hardworking, caring, articulate and willing to work in a team.
Good interpersonal skills, positive engagement, building relationships, questioning and listening skills. Good written and verbal communication skills, demonstrate patience, empathy and problem solving skills when dealing with any possible conflict.
This is a very busy environment where you will need to deal with people who are ill, worried and sometimes upset and confused. You need to remain calm and behave in a professional manner at all times.
GCSE Maths and English (A*-C) or equivalent Level 2 Qualification
On the job training with the employer whilst working towards the Apprenticeship Framework – consisting of the Intermediate NVQ Level, Technical Certificate and Functional Skills if appropriate.
Regular work based assessments/observations carried out by Kent Training & Apprenticeships Tutor Assessor, to determine competency and meet with Awarding Body standards.

Therefore, you must have the means to get to your place of work on a daily basis whilst waiting for your first wages to be paid.
