As part of this role, you will enrol onto a Regulatory Compliance Officer level 4 apprenticeship programme and you will also be enrolled onto our internal soft skills programme for apprentices and graduates, covering time management, communication skills, project management and presentation skills.

Key Data Protection Analysis Accountabilities:
  • Assist with the collation of Records of Processing and follow-up with Information Security Management Representatives (ISMRs) and Data Protection Representatives (DP Reps) across Civica to ensure completeness and accuracy
  • Act as liaison between the data audit team and ISMRs / DP Reps to map data to processes, ensuring that Civica is adhering to appropriate retention guidelines
  • By interviewing ISMRs / DP Reps, capture data and process flows using Visio or similar (experience with visio not essential - training can be provided as part of the role)
  • Ensure all processes are screened against the need for a data protection impact assessment and coordinate the Data Protection Impact Assessment process when one is required
  • Ensure ISMRs produce Legitimate Interest Assessments wherever necessary
  • Ensure Information Security reviews are completed where appropriate
  • Input and maintain records of processing in the privacy management platform ensuring completeness and accuracy
  • Make simple configuration changes to privacy management platform processes (eg report design etc)
  • Provide administrative support where required
  • Prepare management information relating to data protection activities
  • Maintain and develop data protection skills and knowledge of current Civica process and procedures
  • Provide feedback and suggestions to improve policies, processes and procedures


Requirements and prospects

Desired skills

Communication:
  • Confidently communicate in English across written and verbal mediums
  • Possess sufficient self-confidence to question the veracity of a process description and/or the appropriateness of a process design

Technical:
  • Good PC skills, especially Microsoft Office
  • Familiarity with drawing software - eg Visio or similar

Analysis:
  • An analytical mind-set with keen attention to detail
  • Ability to analyse and understand business processes, policies and practices and to assess privacy and security risks

Accuracy:
  • Accurately follow processes and procedures and structured recording of information
  • Record precise technical details of systems in a concise and consistent manner and be able to define and action changes based on findings

Organisation:
  • Able to juggle several work-streams at one time and to appropriately prioritise your own workload in order to meet deadlines


Personal qualities

Team working:
  • Work effectively alongside others as well as independently in order to achieve team goals
  • Share information and knowledge and understand how the work of other teams relates to your own
  • Ability to integrate into an international team across multiple time zones


Desired qualifications

A levels or higher qualification as a minimum - preferably in technical/analytical subjects.
