DESCRIPTION OF VACANCY
We are a friendly three form entry school with a dedicated and committed staff who are focused on delivering an excellent education for our pupils.

We are seeking to appoint a hardworking and reliable Apprentice Administrative Assistant to work in our school office. The successful candidate will have excellent communication skills, be a good team player and enjoy working around young people. The job will involve typing letters and emails, answering the phone, using the school’s management information system, dealing with parental enquiries and general office administration.

MAIN PURPOSE OF JOB

To work in the school office providing a reception service and administrative support. To provide a welcoming, encouraging service for children, parents/ carers and a range of professionals.

Accountability

Act as the first point of contact within the school, filtering enquiries as appropriate and taking and passing on messages to appropriate staff.

Provide administrative support for the Office Manager.

Responsible for general typing and document preparation/editing as required.

Collating material from across the school to compile the weekly newsletter.

Inputting and maintaining pupil data on SIMs.

Maintain general administrative filing and paper and computer based records to ensure data can be easily extracted when required.

To maintain confidentiality at all times in respect of school related matters and to prevent disclosure of confidential and sensitive information.

To take part in training as required.

Undertake other duties considered within the scope of the post, as required


WAGE
Salary of between £4 per hour
Will be paid pro rata.


HOURS
Monday – Thursday, 8am – 4pm
Friday, 8am – 3.30pm (With 30 mins break for lunch)
Working 39 weeks of the year, term time only plus 1 week


SKILLS REQUIRED
Good standard of literacy, numeracy and communication skills. 5 GCSEs including English and Maths.
Good organisational and time management skills and the ability to cope with interruptions.
Excellent verbal and written communication skills.
Office administration experience would be an advantage.


PERSONAL QUALITIES
Good interpersonal skills.
Confident and friendly telephone manner.
Confident in use of Microsoft Office packages.


QUALIFICATIONS REQUIRED
Minimum achieved Grade D or equivalent in English and Maths.


TRAINING PROVIDED
On the job training with the employer whilst working towards the Apprenticeship Framework – consisting of the Intermediate NVQ Level, Technical Certificate and Functional Skills if appropriate.

Regular work based assessments/observations carried out by Kent Training & Apprenticeships Tutor Assessor, to determine competency and meet with Awarding Body standards.


IMPORTANT INFORMATION
