Prepare comprehensive action plans, aligning resources and costs to ensure project results conform to quality, time and budgetary stipulations. Constantly review and prioritise day to day activities, which are often affected by uncertainty, changes at short notice and surprise developments. Maintain close relationships with customers, ensuring that project risks are managed effectively, providing results and outcomes to the management team.
Ultimately, the Project Coordinator's duties are to ensure that all projects are completed on time, within the scope and budget agreed, and meet high quality standards.

  • Process orders and schedule work requests, accurately recording all project details and project activities on J24 systems
  • Communicate effectively with the relevant teams within the business and with all stakeholders, customers and suppliers
  • Manage the professional services engineers' calendar to guarantee accurate utilisation reports
  • Resolve any conflicts that arise and minimise potential risks, escalating effectively to management teams where appropriate
  • Re-schedule work requests and orders where required to make best use of the resource available
  • Schedule work and resources for engineers and 3rd parties
  • Maintain accurate log of daily events including costs and time spent on projects, for accuracy of utilisation and profitability reports, keeping centralised records up to date in real time
  • Provide clear and concise instructions documenting advice given on the internal system
  • Maintain the schedule of recurring contractual site visits
  • Maintain a clear understanding of engineers' competency to carry out assigned work
  • Produce and process accurate project documentation for review and sign-off
  • Record formal sign off of projects, transition into post implementation and release orders for invoicing
  • Ensure accurate invoicing of projects on completion
  • Produce project highlight and performance reports as requested and perform other duties as assigned

Requirements and prospects

Desired skills

  • Ability to use internal systems in relation to the role; e.g. SID, Salesforce
  • Good financial and commercial acumen
  • Good knowledge of Jigsaw24 customer procedures and best practice
  • Experience in fast paced IT services environment requiring excellent organisational skills
  • Project Coordination or experience working within Project Management teams
  • Experience with scheduling and handling calendar bookings

Personal qualities

  • Have a keen desire to work in and pursue a career an IT Service/Support based environment
  • Good customer service experience and work ethic

Desired qualifications

Individual employers will set their own entry requirements for their apprentices. Typically candidates will have achieved a grade C/4 or above in at least 5 GCSEs or equivalentincluding English and Mathematics, and hold a minimum of 48 UCAS points, or equivalent.

Future prospects

At the end of the Apprenticeship, your performance will be reviewed for the opportunity of a permanent position.

Things to consider

  • Please note that anyone under the age of 18 will only work a maximum of 40 hours per week.Any role which exceeds these hours on advert will be amended accordingly to fall in line with the legislation
  • Please note that if the successful applicant is found prior to the closing date the vacancy maybe withdrawn early
  • This apprenticeship is work based learning therefore most of the time you will be working at the employers address. Depending on your training you will only need to attend college in Nottingham for initial assessments, enrolment and a few other rare occasions
