Apprentice Clerical Assistant

17.5hours per week - You will be required to work 11:00 -14:30 Monday - Friday with additional hours to cover annual leave/sickness.

Fixed term for 24 months.

As a Clerical Assistant, you will provide a comprehensive administrative service to the Intermediate Care @ Home Team in accordance with Departmental practices, standing orders and financial regulations, which enables the Department to achieve its objectives in terms of time, cost and quality of service.

You will be expected to exercise initiative and judgement with minimum supervision, ensuring that you maintain a high degree of tact, diplomacy and confidentiality at all times.

Following training, you will be responsible for reception duties which will include answering telephones and access to the office by staff members and others. You will be answering questions and queries, within previously determined guidelines, from staff members, service users, their carers or representatives, health or social care professionals or members of the public. You will also be required to take accurate messages and /or refer callers to the appropriate manager or department.

The role involves taking referrals from health and social care professionals, inputting data onto the Home Care Management IT Software and SystmOne, ensuring that all relevant information (i.e. health & safety, moving & handling, security, personal service user information, prescribed medicines) is recorded and passed onto the relevant manager or team.

For this role it is essential that you:
  • Have the motivation and commitment to work towards Level 3 Apprenticeship Standard in Business Administration.
  • Are competent in the use of Microsoft Office.
  • Have effective communication and organisational skills.
  • Possess effective customer care skills.
