Key Purpose:
  • To aid with the recording and collection of all College income
  • To reconcile all College bank accounts, including investigating and resolving of discrepancies
  • To assist with the issue and reconciliation of petty cash claims and cash advances
  • To provide support for purchase ledger
  • To provide support for accounts receivable
  • To support the Finance Business Partners with various projects and tasks

Responsibilities:
  • To participate in key College processes as required
  • To act at all times in accordance with College policies e.g. Health and Safety, Equality & Diversity, Inclusion and Quality Assurance
  • To work flexibly in the interests of the organisation as required
  • To participate in performance reviews and to undertake staff development activities as appropriate
  • To be responsible for promoting and safeguarding the welfare of children, young people and vulnerable adults you are responsible for, or come into contact with

Duties and Responsibilities:
  • Ensure the bank reconciliation is completed in accordance with the College's monthly timetable, including accurately coding income and expenditure to the correct code and investigating and resolving any discrepancies between the cash book and bank statements
  • Checking and posting cash and credit card batches created throughout the college via Open Accounts finance software in an accurate and timely manner
  • Banking cheques received through the post and recording the cheques in Open Accounts
  • raising journals to record transactions so expenditure is posted to the appropriate budget codes
  • Assist with the identification of amendments to student learning programmes requiring adjustments, including sales ledger credit notes
  • Dealing with student/debtor or tutor enquiries and ad hoc queries in a timely manner
  • Processing credit card payments over the telephone
  • Ensuring that all paperwork is correctly and securely filed
  • Matching supplier invoices to purchase orders in the system and checking coding for reasonableness / accuracy
  • Entering supplier invoices received by the College onto the financial system
  • Ensuring that financial procedures are adhered to with particular regard to authorisation and payment of Invoices thorough the College's purchase order system
  • Opening and distributing the post (rota system)
  • Assisting the Finance Business Partners with various projects and tasks, such as running reports from Open Accounts, preparing spreadsheets, and collating and analysing data
  • Support other members of the Finance Team as required (holiday/sickness cover)
  • To carry out any other duties commensurate to the post as required by your Line Manager / Senior Manager

Desired qualifications

Essential
  • Literacy Level 2
  • Numeracy Level 2
  • IT Level 2
  • AAT Level 2
  • Certificates/Evidence of these are also essential

Desirable:
  • AAT Level 3, studying towards AAT Level 4
  • We would also prefer if the applicant has some work experience in an office serting, ideally a finance office
