Administration Assistant (Level 2 Customer Service Apprenticeship)

Our Apprenticeship

Our apprenticeship scheme is an ideal opportunity if you are interested in working within DynamicHealth MSK and Physio Services in Cambridgeshire and Peterborough. Our current vacancies are in Peterborough and Cambridge. Our admin teams are looking for someone to provide them with administration support.

Dynamic Health, part of Cambridgeshire Community Services,is the leading musculoskeletal (MSK) and physiotherapy provider across Cambridgeshire and Peterborough. We are looking for an administrator with a positive approach, excellent interpersonal and communication skills.

You will work as an Administration Assistant working with and assisting the wider clinical team, delivering Physiotherapy and Specialist Services to the unit. Our service is led by the Business Managerand an experienced team of Clinical Specialists across Cambridgeshire and Peterborough. We are committed to high quality and evidence-based care in everything we do. We have a strong track record of service redesign to bring patients out of hospitals into the community setting. We drive innovation and new ways of working, putting service users at the centre of their care

As an Apprentice at Cambridgeshire Community Services NHS Trust (CCS), you will have real responsibility, within a real job, contributing to real business activities. You will also receive tailored on the job training and support to achieve your apprenticeship qualification.

The main duties of the role include :
  • Assist in the administration of clinics including booking appointments, cancelling and re-scheduling of appointments using SystmOne, ensuring data quality at all times
  • Answer calls from membersof the public,communicate information about the service,register the patients on our database (SystmOne) and arrange booked call backs for physiotherapy assessmentin a courteous and friendlymanner
  • Assist with monitoring of waiting lists and clinics for the weeks ahead and plan to ensure clinics are filled.
  • Administer referrals from the e-referral system to include:
    • Retrieval and attachment of clinical referral information.
    • Redirect referrals to other services, following clinical triage, using the choose and book referral system.
    • Validation of patient information
  • Receive, sort and distribute or action mail as appropriate.
  • Ensure photocopying / scanning is carried out appropriately and dealt with accordingly, to include preparation of confidential notes for Solicitors requests.
  • Book interpreter services for patients requiring a translator.
  • Assist with keeping both manual and electronic management information systems up-to-date, including patient and staff information, ensuring accuracy, confidentiality and security of information at all times.
  • In conjunction with colleagues monitor and maintain the effectiveness of systems and processes and suggest/implement change when necessary.
  • To understand the need to escalate issues through to the line manager to ensure problems are managed in line with policy.
  • Assist in covering reception and dealing with enquiries

This position is for a fixed term of 15 months (including the 12 months of the apprenticeship programme) and during that time you will gain valuable work experience and a recognised qualification: QCF Level 2 in Customer Service

During your apprenticeship you will be assigned a learning mentor who will guide and support you through the training programme. Progress will be monitored by maintenance of an apprenticeship portfolio containing evidence of records of attendance at training and regular meetings with your mentor and college advisor.

On successful completion it is envisaged that you will receive qualifications associated with this post including QCF Level 2 in Customer Service, Functional Skills and Technical Certificate and recognition for attendance of multiple in-house training courses relating to information systems, Health & Safety, mandatory training and any other courses deemed relevant.

Please note, if you already hold this qualification or are educated at degree level you will not be eligible for this position.

As part of our safe recruitment practice pre-employment checks will be undertaken before any appointment is confirmed which may include a Disclosure and Barring check and where the position requires you to drive as part of your everyday duties, you will be asked to validate your driving licence online via the DVLA. We will also use technology to ensure the documents you provide are genuine.

Successful applicants to posts at band 6 or above for which a DBS check is required, will be asked to pay for this as a condition of their job offer (£44 for an Enhanced Check or £27 for a Standard Check). This payment will be deducted from their first month's salary unless a longer pay back period is agreed with the appointing manager. This will not apply to successful applicants who are registered with the DBS Update Service and in possession of the disclosure certificate, for whom an online status check will be undertaken.
