A vacancy has arisen within our North East Wiltshire Administrative Team.

The successful candidate will be working as part of a friendly and diverse Admin Team, who provide a high standard of administrative support to the Team Manager, Consultants and Clinical Staff of the North East Wiltshire Community Mental Health Team.

The North East Wiltshire Community Mental Health Team, is a busy but friendly Community Team, who look after and support Service Users living in the community.

The post is principally based at Green Lane Hospital in Devizes, but you may be required on occasions to provide admin cover at our other Team Base, which is at Bewley House in Chippenham. Therefore, you will need your own transportation or access to public transport.

The post involves:
  • Handling confidential material.
  • Answering the main phones for the Clinical Team and dealing with enquiries.
  • Taking messages on behalf of the Clinicians and passing them on in a timely fashion.
  • Audio typing.
  • Scanning and uploading documentation to RiO (Patients Electronic Records System)
  • Dealing with incoming and outgoing post.
  • Diary Management.
  • Updating spreadsheets.
  • Minute taking.
  • Room bookings.
  • Lone working system.
  • Other general administrative tasks.

We would like the post holder to have good audio typing skills and be able to take minutes of meetings.

You will need to be able to priorities your own workload, both as an individual and as part of a busy Administrative Team, in order to meet set deadlines. This is a varied role and requires the post holder to be flexible and able to adapt to constant changes in workload, in order to support the Clinical Team.

The post holder will be required to have excellent communication and interpersonal skills and be fully competent in the use of Microsoft office, Outlook and Excel. We use spreadsheets for recording key information for the Clinical Team, for referrals, safeguarding and performance.

We are able to offer you training opportunities, apprenticeships and NVQ's, to assist in developing your career as a Secretary/ Administrator. You will receive support and guidance from your Line Manager and Supervisor, via monthly supervision and annual appraisal.
