Apprentice Scheduling Administrator

Accountable to: Planning & Performance Manager

Responsible for: The apprentice will be supporting the day to day functioning of the Planning & Performance Team

Hours: Full time (35 hours/week)

Main office location: Darlaston, West Midlands

Currently Home Working in place.

A fantastic opportunity for an Apprentice Business Administrator to join our Scheduling Team based in Darlaston!The scheduling team are responsible for booking and allocating the repairs onto the engineer diaries within the agreed timeframes and ensuring we minimise travelling for the day.

Apprentice in Business Administrator Level 3

Key Responsibilities:

To assist the team in updating electronic records using Accords in -house management systems and to assist in the provision of weekly and monthly reports of progress.

Assisting with the maintenance and monitoring of paper and electronic records associated with planning & performance activities and updating relevant systems.

Assisting with the monitoring costs of remedial works in accordance with budget availability and updating diary notes and any data changes in relevant systems.

To support the team with the management of engineers to ensure that they are meeting required targets, standards and to monitor Key Performance Indicators - KPIs.

To carry out telephone welfare calls to the engineers twice daily and log the outcome

To liaise with tenants regarding works to be carried out and note and update systems with any necessary requirements, including access availability.

Assist with the co-ordination of required works, both in-house and externally contracted, involving multiple teams/trades.

Assist with providing financial and statistical information when required.

Assist with dealing with enquiries, concerns and complaints from customers (internal and external) and contractors by telephone, letter and email and obtaining information for the Investigating officers.

Assist with letter production, franking and responsibility for post distribution.

Assist with the management of electronic email Inboxes and answering queries and solving problems and issues.

To carry out data entry when necessary.

To ensure compliance with Health and Safety and service related legislation and promote a positive health and safety culture.

To provide cover when required for other team members due to holidays, sickness, meetings etc.

Such other duties as may reasonably be required from time to time that are appropriate to the role.

Apprentice Training:

Apprentice Qualification training provider to be confirmed.

Level 3 Business Administrator Apprenticeship Standard Qualification

Training will be provided by assessor visits, workshopsand online assessments.

Mentor/Buddy assigned to you to support throughout your apprenticeship with Accord

Accord will provide training on In House systems and processes.

Skills and abilities:

Effective oral and written communication skills, great customer service

Computer literate with good keyboard skills and knowledge of Word, Outlook, Exceland other Microsoft packages.

Ability to have attention to detail to all aspects of work

Being able to time manage and use your own initiative.

Ability to interact with a diverse range of people.

Eligibility

Functional Skills in Level 1 Maths and English

GSCEs Grades C above Maths, English and IT
