Vacancy description

The Admin Apprentice role at Gleeson Recruitment Group is part of the support function for the business and works as part of team to ensure all callers and visitors receive a high level of service as well as completing day to day administration duties.

Roles and responsibilities include:

  • Meeting and greeting visitors and external customers to the Gleeson office in a friendly and professional manner
  • Gathering all Right to Work identification from candidates attending the Gleeson offices, scanning and ensuring the copies are saved onto the CRM against the correct candidate record
  • Answering all incoming telephone calls with the standard Gleeson greeting and efficiently directing those calls, prioritizing and taking messages containing all relevant information
  • Acting as an effective gatekeeper for sales calls to Managers and Directors whilst always remaining professional and friendly
  • Ensuring all interview rooms and reception areas are clean and tidy after every meeting and that fridges are fully stocked
  • Ensuring all Apprenticeship work is completed within deadline and to a high standard
  • Ensure all appointments with Apprenticeship providers are scheduled and attended
  • Being a competent user of the CRM and formatting candidate CVs into the required Gleeson format.  Ensuring that candidate records have the correct information in the right places and that all CVs are standardised and completed within the required timescales
  • Ensuring that back-office areas are also clean and tidy such as the kitchen area and general office; helping with loading and unloading the dishwasher, ensuring work surfaces are clean, tidying out the fridge and cupboards on occasion
  • General administrative duties when required, such as writing congratulations cards, work-related errands for the office such as collecting orders, buying lunches for clients
  • Supporting the recruitment teams when required in areas such as data entry and CRM system updates, sourcing for candidates or writing job adverts or assisting with events

  • GCSEs at grades C/4 or above (or equivalent) in maths and English are desirable but not essential
