Basic scope and primary objectives:
  • Liaise with the incoming trainees (and, where necessary, their schools & Pathway Tutors) in collecting the information necessary to process applications and QTS assessments efficiently
  • Provide on-going support, predominantly by phone, to incoming trainees on the application process, answering questions and escalating to either the Programmes & Admissions Manager or Programme Directors when necessary
  • Check trainee files to ensure they are fully prepared for review by the Programme Directors
  • Ensure incoming trainee records are kept up-to-date and accurate at all times on Tes Institute's online record system, Salesforce
  • Keep regular & frequent contact with trainees throughout the duration of their studies to ensure that all required work and documentation is completed and given final review in time for QTS Assessment
  • Process trainee records for course starts, programme changes (deferrals, withdrawals, extensions) and course completion, which includes registering and maintaining records with appropriate bodies (NCTL, DfE, University partner)
  • Respond promptly and accurately to telephone and email enquiries in accordance with good customer care principles
  • Provide support to trainees on the required preparations for the start of course - ensuring all trainees are properly onboarded on time, as well as those for course completion - ensuring their documents and material are in order for QTS
  • Produce regular reports on trainees' statuses as necessary for relevant team members (e.g. Programme & Admissions Manager, Programme Directors, Digital Learning team)
  • Provide support for audits and inspections, as and when required
  • Provide additional support to the Programme team as and when required

Requirements and prospects

  • Proficient in the use of Microsoft Office
  • Experience of using databases

  • Excellent time management skills

  • Communicates clearly and confidently both verbally and in writing
  • Strong attention to detail particularly with regards to data entry and checking documentation
  • Ability to perform outgoing calls and email follow-ups in a professional, positive, and prompt manner
  • Ability to work flexibly, which may include weeknights, weekends, and holidays during peak times

Desired qualifications

The entry requirement for the Degree Apprenticeship are:
  • 112 UCAS points, e.g. grades BBC at A-Level or DMM at BTEC (or equivalent)
  • GCSEs at grades C/4 or above(or equivalent) in maths and English
