Job Details

The Admin & Marketing Assistant provides full administrative, secretarial and marketing support to the business, staff and Directors, in particular relation to T.A.D. Architects & T.A.D. Project Safety.

Duties will include:

Admin Responsibilities:
  • Undertake General Administration duties either alone or with others as necessary to ensure the smooth operation of the business.
  • Collating, photocopying and binding of reports etc.
  • Answering the telephone to external callers
  • Word Processing
  • Processing incoming and outgoing post
  • Greeting visitors, signing them in, preparing beverages for visitors / meetings
  • Preparing meeting spaces
  • Scanning / copying / printing documents or drawings
  • Coordinate lunch breaks with other administrative staff to ensure cover between 12-2pm for above duties
  • As the individual develops, to an agreed programme, they will be expected to take on more responsibility and control of the processes and activities, rather than simply responding to tasks
  • In conjunction with the Director responsible for CPD, plan and organise the office CPD programme, and coordinate attendance by staff at external activities in line with the Training & Development Policy and ensure CPD records are up to date and accurate
  • Plan, manage and coordinate the review and updating of all Company Policies in line with review periods

Marketing Responsibilities:

As the individual develops, to an agreed programme, they will be expected to take on more responsibility and control of the processes and activities, rather than simply responding to tasks.
  • Develop the Marketing Strategy in conjunction with the Directors.
  • Undertake and coordinate market research
  • Coordinate marketing campaigns
  • Ensure all marketing material and information, including websites and tendering portals is regularly updated
  • Management of the CRM System
  • To prepare marketing presentations, complete questionnaires and tenders in conjunction with the Directors and coordinate their timely submission
  • Responsible for the delivery of Social Media content in line with the Social Media Policy and framework
  • Arrange company promotional events
  • Ensure that all Sub-consultants Validation Questionnaires are updated annually, including PI records
  • Prepare and coordinate the timely submission of third-party accreditation submissions, including CHAS and Constructionline
  • Ensure that all information held by clients, registered bodies and framework organisations is kept up to date and any requests for information are addressed
  • Prepare, coordinate and obtain Client feedback as projects are completed in line with the Quality Manual and as required by Frameworks and Constructionline, including any Key Performance Indicator (KPI) recording

  • Good computer literacy, including use of Microsoft Office, Microsoft Publisher, Photoshop, InDesign, Illustrator
  • Ability to use web-based portals and online databases
  • Use of social media platforms
