The South West Regional Operation Centre (ROC) has been established to manage the expected support required to coordinate the delivery of services to our patients and to support local healthcare professionals and Systems in delivering required services, during what may be a challenging period. The ROC is responsible for communicating Covid-19, Winter, and Vaccination requirements to Providers, Commissioners and other organizations that support healthcare delivery in the SW Region; assuring local preparations; responding to operational enquiries for Covid-19, Winter, and Vaccination; coordinating the operational response within the SW Region and meeting national reporting requirements for Covid-19, Winter, and Vaccination.

While the primary location for the South West ROC is in South West House, Taunton, the successful candidate will generally work remotely, using MS Teams, following current NHS workforce guidance.

As theROC Business Support Officer, the post holder will work as part of a dynamic team in delivering an effective service supporting local organisations across the Region to maintain a high level of preparedness and delivery for Covid-19, Winter, and Vaccination. The post holder will be responsible for ensuring the smooth management and delivery of administration, inbox and logging services and processes including;
  • Manage, co-ordinate and develop the administration services and processes for the ROC.
  • Monitor, review and seek updates to maintain action trackers, risk registers and issues logs.
  • Maintain contact with Cell Leads as required to ensure actions are being addressed.
  • Meeting management; arranging meetings, minute taking, distributing documentation as required, ensuring invite lists are managed and up to date.
  • Chase missing reports/SitReps/information as required.
  • Complete and circulate handover between shifts.
  • Monitoring, managing and developing In Box processes
  • Allocating and prioritising workload across In Box team.
  • Ensuring emails are appropriately reviewed, actioned and archived.
  • Ensuring priority emails are flagged to the appropriate staff within the ROC
  • Ensuring Out of Office is actioned in line with operational hours
  • Maintain an accurate record of actions/decision taken by the ROC Incident Director and across ROC teams.
  • Manage and maintain the Incident Log Book
  • Accurately maintain a full record of all decisions and actions taken, including courses of action that were considered and discounted by the ROC ICC Director.
  • Ensure the ROC ICC Director or manager lead provides a signature at appropriate times
  • Ensure all actions and decisions logged manually in the Log Book are added to the electronic log.

The ROC Business Support Officer will work, Monday - Friday, 0800 - 1800 with a one in four weekend working commitment (37.5 hour working week). Additionally, there may be a requirement for the successful candidate to provide cross-cover for other members of the ROC, including flexing working hours in line with ROC core operating hours and undertaking other tasks and activities as specified by the ROC Manager.

The reason for the fixed term contract is a short-term time limited project. Please note this vacancy may close early if sufficient applications are received.
