Job Title: Business Administrator Apprenticeship (travel and Hospitality sector)

Location: Rustington, West Sussex

Salary: GBP18k per annum

Full time: Monday - Thursdays 8:30am - 17:30pm, Friday 8:30pm - 4:30pm

Our client is looking for an Administrator Apprentice to join their team to provide administrative support for their company.

Responsibilities

Corporate Travel Booking

Maintain and continually develop a Travel Booking system for all Corporate Travel.
Liaise with key hotels to ensure best corporate rates are agreed
Arrange flights, car hire, hotels as requested
Provide itineraries for travel as requested
Record bookings on Travel Spreadsheet and outlook calendar
Keep travellers up to date with any changes

Visitor and Staff Hospitality

To make and coordinate meeting room bookings as requested using diaries on Outlook and the needs of the users each day
To produce Welcome notices for all expected visitors
To welcome visitors by greeting them, in person or on the telephone; answering and referring enquiries
Maintain security by following procedures, issuing visitor badges, monitoring the visitor book
Order working lunches as requested for meetings and be responsible for setting the lunch out and clearing away
Maintain stock levels of tea and coffee and healthy snacks, re-ordering online as required

Call Handling

To be first call handler and answer incoming calls to the office, dealing with the call personally or transferring to the relevant department/ take clear messages

Routine Administration and Support

To ensure incoming post is opened scanned and distributed to the correct staff members and the outgoing post is processed and ready for afternoon collection
To produce posters for and update the company intranet with News, Achievements, and details of forthcoming events
To send out literature requests from the ASMs and trade press enquiries as required
To create and distribute CPD certificates and follow up email to seminar attendees
To collate On-Boarding files for new employees
To collect the Training Evaluation forms following internal training and to file them in the individual's training folder
Produce the Daily Sales Flash and upload
To send out daily opportunities report to Sales Team
To assist with support with administration for the Facilities Administrator, and the Quality and Environmental Manager when required.
To provide general administrative support in relation to producing and presenting data using Power Point, Excel, and Word packages.
To update in and out board and maintain an awareness of staff availability
Check all sales invoices have been printed and prepare them for the post
Check paper levels in the office machines at the end of each day

Desired skills

Strong communication skills - active listening, questioning, rapport building, excellent telephone manner
Travel Booking Experience - either personal experience or in a corporate environment
Good computer literacy in Word, Excel, Internet, and Outlook Microsoft Office 2013
Excellent administrative skills and ability to organise
Strong people skills diplomacy, discretion, understanding and awareness of other's needs, professionalism
Excellent time management skills - planning prioritising, staying focused
SharePoint, Microsoft Dynamics Nav Database, Publisher, PowerPoint

To have facility of expression in speech and writing and accuracy in written work
To be able to support and work collaboratively within a team and help colleagues to develop through sharing skills, knowledge, and best practice
To be able to deal promptly, pleasantly, and patiently with all enquiries and requests on the phone and face to face

To be flexible in order to adapt to changing circumstances and to prioritise, plan and reorganise work as priorities change

Desired qualifications

Minimum 5 GCSEs or equivalent including Maths and English minimum Grade A - C level
