Client project coordination:
  • Assist the contract and Project Administration Manager to ensure that services delivered are compliant with the contract programme and issued task orders
  • Facilitate administration of task order approval process to ensure all services delivered are documented and properly authorised in accordance with client and contract requirements
  • Input of data onto designated computer software systems to manage all work processes, including the client's reporting system
  • Maintain detailed and organised project files ensuring auditable document management in accordance with all project and company information security policies
  • Prepare and disseminate project information as required to appropriate parties
  • Work with subcontractor administration teams to ensure a seamless delivery of project administration
  • Assist with the project invoice preparation process
  • Verify data input to ensure accuracy of client invoices
  • Maintain and collate documentation required to support client invoices
  • Liaise with the finance department to coordinate supplier payments ensuring payment within agreed terms

Operational:
  • Createand implement appropriate standard operating procedures, administration, and support processes for identified project leadership initiative
  • System super user for designated software systems
  • Support with the creation of training material and assist the Project Administration Manager with team training where required
  • Actively promote and embed compliance with project and company policy, procedures, and initiatives
  • Support data audits and procedure reviews to ensure project compliance
  • Ad hoc support to the contract and operational delivery teams as directed


Requirements and prospects

Desired skills

Essential:
  • Prior experience of project administration
  • Knowledge in the use of computer software for executing work processes
  • Prior experience of communicating internally and externally
  • Strong IT skills: intermediate/advanced in MS Office packages
  • Excellent organisational and prioritising skills
  • Accurate, with an attention for detail
  • An ability to identify problems, understand the complete impact of them and see challenges through to a conclusion
  • Skilled in oral and written communication

Desirable:
  • Experience of procurement, contracts, and start-up work processes
  • Knowledge of contract KPI's and performance measures

Desired qualifications

  • 5 or more 6/B+ grades at GCSE or equivalent
  • A level English, maths, Business or STEM related qualification or equivalent
