Our client is a high-end private medical clinic specialising in plastic, reconstructive and cosmetic surgery, dermatology, and dental surgery. The clinic provides services to high profile clientele and have previously been featured in the media.

The bookings coordinator must liaise with all internal departments to maintain smooth running of the clinic bookings at all times. This role heavily involves interacting with patients over phone, email and occasionally in person to find out their needs and book appointments as required with the most appropriate consultant.

• Ensuring all incoming calls are answered handled to the correct standard.
• Ensure all messages and emails are dealt with in the most effective timely manner.
• Being the first point of contact for patients as well as consultants.
• Managing clinic diary/theatre diary on a day-to-day basis.
• Registering of patients onto the patient system.
• Patient quotations
• Ensuring patients fill out the correct forms prior to their appointments.
• To liaise with all departments to ensure effective and efficient communication at all times.
• Proactively manage the patient administrative pathway in the delivery of clinical services.
• Identifying and pursuing opportunities to convert queries into appointments at the Clinic.
• Supporting the organisation and hosting of GP, Consultant and Patient Open Evenings events (including events outside of working hours).
• Logging all queries and referrals to help inform the business development strategy of the Clinic.
• Performing any additional ad hoc duties or projects, including but not limited to administrative tasks such as market research and updating databases.
• Develop and nurture excellent departmental relationships with the nursing, front of house, finance, and management teams.

• Degree educated in a relevant subject.
• Ability to multitask and to organise workload efficiently
• Excellent communication skills - understanding the needs of the client
• Ability to follow instructions/protocol consistently
• Problem-solving skills
• Proactive, reliable, and conscientious
• Good team player, flexible and positive working attitude
• Excellent time management skills
• Good computer knowledge
• 1+ years' experience in healthcare would be beneficial.
