Job Title: Reception Assistant - Business Apprenticeship

Location: Brighton, East Sussex

Salary: GBP7,466.56 per annum

Full time: Monday - Thursday, 8am - 4pm & Friday 8am - 3:30pm. 41 weeks per year (Term time + 2 additional weeks)

Our client is a state funded Academy with a specialism in sport and entrepreneurship for 11-18 year olds. They are looking for a reception assistant to complete a Business Administration Apprenticeship.


Receive and initiate calls promptly and efficiently, identifying the caller's requirements, transferring calls as appropriate
Monitor and distribute/reply to the academy's address
Greeting and signing in guests and parents
Carry out routine administrative tasks as requested
Support students with general enquiries
Supporting with academy trips, arranging transport etc. where required in liaison with teaching staff
Project the Academy's image by being courteous, efficient and helpful at all times
Receive, distribute post received and ensure post is ready for collection on a daily basis. Maintaining franking machine with supplies etc
Attend team meetings and staff meetings as required
Maintain confidentiality inside and outside the workplace
Produce monthly registers for the entire school in case or fire evacuation
Supporting with academy events i.e. Open Evenings, Parent/Carer
Assist with the daily absence cover for school staff, liaising with supply agencies as required and authorising timesheets
Assist with producing monthly reports for Free School Meals, liaising with restaurant to arrange meals for students on Free School Meals on trips
Monitor and support parent/carers with sQuid (online payments)
Cash handling i.e. taking money for items not covered by online payments, hold a cash float
Undertake any reasonable additional responsibilities requested at any time by the Academy leadership team
Produce Reprographics, learning, teaching, and professional development resources
To maintain existing reprographics equipment and supplies
To ensure the Academy is serviced by high quality cost efficient and effective design, reprographics and publication services either provided directly, or where appropriate, sourced outside the Academy
To carry out basic repair of equipment i.e., photocopiers
Plans and coordinate day to day print shop workflow activities and digital service operations
To support the Academy-wide digital signage system
To provide digital support for all Academy events, including evening and weekend events
To prepare proofs for approval
Supporting the Communications Manager with online marketing on social networking site like Facebook and Twitter
Ensuring all promotional materials and communications are on message
Creating and printing leaflets, posters, flyers, and the prospectus for the main school and sixth form
Understand and apply Academy policies

Required Skills

GCSE grade 4/C or above in English and Maths, or equivalent
Good communication skills
Good IT skills
Able to remain calm when dealing with a variety of situations
Excellent organisation skills
Receptionist and/or front of house experience desirable


Potentially permanent role offered after completion of apprenticeship.
