Mountbatten is seeking a Business Administration Apprentice to join and provide daily efficient comprehensive administrative support to its Care Co-Ordination Centre/Inpatient Unit. Undertaking the level 3 - Business Administration Apprenticeship Standard.

Training to be provided

The successful candidate will be working towards the Level 3Business AdministratorApprenticeship.

Candidates will need to have achieved maths and English at GCSE or equivalent Grades A-C (9-4) or Level 2 Functional Skills in maths and English before completing the Apprenticeship standard.

Whilst undertaking theApprenticeship Standard you will be learning to be proficient in the Knowledge, Skills and Behaviours of a Business Administratorwhich will consist of the following components:
  • Decision Making, Quality, the Organisation and Value of Skills
  • Interpersonal Skills, Communication, Stakeholders andRegulations
  • Planning and Organisation, Projects, Policies and Business Fundamentals
  • IT, Record and Document Production, Processes and External Environment

Off the job training will be provided, where you will have the time to complete your portfolio work, attend off job training seminars and have allocated time for mentoring and being shadowed.

Vacancy description

The following are the core responsibilities of this job role arewhat you will be working towards. You willbe learning these via,coaching and trainingfrom your in-house mentor. This willdevelopyour skills, knowledge and behaviours within the apprenticeship with the aim to competently and confidently carry out the tasks assigned to you.Occasionally you may be required to carry out other tasks dependant on factors such as workload and staffing levels to support the team as a whole:
  • To learn to support the Inpatient Unit by undertaking clerking duties such as recording admissions and discharges.
  • To answer the switchboard in a professional manner.
  • To assist in the process of developing specific administrative processes/protocols as directed.
  • To support the preparation, development and production to a high standard of correspondence, develop agendas, to take notes/minutes of meetings reports and presentational material and follow up any ad-hoc action from meetings as required.
  • To learn to organise coordinate and manage specific administrative tasks such as meeting arrangements.
  • To take appropriate action in managing emails and calls when Team members are un-available i.e. at meetings, on annual leave or sick leave.
  • To support the coordination of travel arrangements when necessary
  • Communicate effectively with all disciplines by giving and receiving accurate information to ensure the team are kept fully informed.
  • To assist other administrative staff members to provide a team based service to all staff within the team.
  • To undertake project work when required, assisting Mountbatten Hampshire Director of Operations to meet tight deadlines
  • To learn to manage telephone communication - dealing with initial enquiries, exercising judgement as to the appropriate response, taking immediate action if necessary and promoting a positive service image.
  • To communicate effectively with a range of people from a variety of backgrounds in a sensitive and positive manner.
  • To learn to receive, exchange and manage securely a range of complex and sensitive information e.g financial information, performance data, patient records and confidential reports.
  • Assist clinical and other staff in all aspects of word processing and systems compiling new forms/charts, tables using IT applications.
  • To maintain paper and software-based information, electronic patient records, administrative systems and office procedures that support the efficient discharge of the patients.

Education and Training Responsibilities
  • Ensure you are compliant with all mandatory training requirement

Other Responsibilities
  • Offer cover to the administration team when this is required, supporting with cross cover of tasks when this is possible.
  • To be able to use relevant project management principles and tools in order to be able to scope, plan, monitor and report on a business project
