Job Details

As an Office Administrator, you will be required:

  • To adhere to policies and procedures within Home Care Plus.
  • To promote Home Care Plus interests
  • To manage the Home Care Plus Service within budgeted targets.
  • To deal with referrals and take on new packages of care
  • To liaise as needed with external professional care organisations (CPNs, chiropodists, GPs and other nursing professionals).
  • To collate and chase up, if necessary, employee time sheets
  • To photocopy any documents required
  • To complete DBS checks for new employees
  • To ensure that training matrix and compliance grid is updated.
  • To participate in staff development, training and performance appraisals.         
  • To provide written reports of all complaints, accidents, incidents and untoward events in accordance with written Policies.
  • To keep abreast of all new developments in Health and Social Care, and of the philosophies and policies of the Contracting Authority, and to communicate the same to the staff of the Organisation, modifying Policies as needed.
  • To ensure that the day-to-day Care Services are operated in accordance with the latest Health & Safety legislation. To be aware of your responsibilities under the Health and Safety at Work Act
  • To conform to the U.K.H.C.A. Code of Professional Conduct in relation to the operation of the Home Care Service.
  • To participate in Staff, Team and Quality Management Review Meetings as directed by the Registered Manager
  • Assist the Coordinator in planning and organising staff rotas, and associated administrative duties within the office, which includes making up new files for new clients and ensuring that the paperwork is all relevant and accurate.
  • To participate and attend relevant training on a regular basis to ensure that all mandatory and personal training and development needs are met in line with company requirements to update and enhance knowledge base.  
  • Assist with on call duties
  • To deal with difficult situations in a calm and professional manner.
  • To contribute to monitoring, reviewing and evaluation of intervention.
  • To communicate effectively with professionals, families, and service users.
  • To form effective relationships with service users, families, and professionals.
  • To effectively deal with telephone queries from carers, families and professionals.
  • To represent Home Care Plus at meetings. Acting professionally and ensuring that the smart attire is worn.
  • To maintain strict confidentiality in all aspects of work relating to service users, colleagues, and the company in line with policies and procedures
  • Adhere to the GSCC Codes of Practice and staff handbook.
  • At all times work within current legislation.
