Job summary

This is an innovative and exciting opportunity for a level 3 apprenticeship in Business Administration within the Patient Safety Team for Bank Investigations at Nottinghamshire Healthcare NHS Trust. The post holder will support the administrative functions of Serious Incident Investigations and Complaints, to enable learning and developments in patient care and safety, reducing risk and improving patient experience, in line with agreed timeframes and protocols.The post-holder will have opportunities to become conversant and competent in customer service and administrative support, working alongside staff within the department, under supervision. Communication will be needed with a range of internal and external stakeholders and partners. This will run alongside gaining knowledge and experience by undertaking training to the Level 3 Business Administrator Apprenticeship Standard.

The Bank Investigations team is a new and growing are of the Patient Safety Team based in the Trusts' Quality Governance Department. You will be based in one of the locations of the Nottinghamshire Healthcare NHS Trust and/or working from home subject to relevant Trust guidance. We are a supportive and friendly team who will help you develop the skills and experience to progress your career.

Main duties of the job

  • To support administrative functions relating to investigations into clinical incidents
  • To provide general customer service, office and administration support services, both internal and external.
  • To undertake general office duties, for example, answering the telephone, taking messages, filing, photocopying, handling post.
  • To communicate with staff and visitors daily, providing support and to help resolve any issues
  • Assist the team to arrange and administer meetings /events, including booking venues, preparation and distribution of papers
  • Under supervision produce accurate letters, minutes, reports, maintain databases etc.
  • Under supervision develop and maintain administrative support systems, including bring forward files and filing systems, ensuring systems are effective and reviewed regularly
  • Support the Bank Investigations Team to maintain electronic records relating to allocation and progress of investigations
  • To assist with ordering of supplies
  • To assist with recruitment and induction of Bank Investigators
  • Assist in tasks and duties of other staff during absence to ensure effective service is maintained and contributing to the work of the team
  • To gather, record and securely store information on confidential matters and enquiries
  • To undertake annual appraisal to identify development required, and further develop skills and the role
  • To undertake essential training as and when required

    To contribute to the administrative work within the team.
    To gain an understanding of how the team functions by providing support as required whilst gaining knowledge and experience and by undertaking training in the following:
    • Level 3 Business Administrator Apprenticeship Standard
    • Functional Skill Level 2 in Maths If Applicable
    • Functional Skill Level 2 in English If Applicable

    Knowledge-based off the job training will take place during the 21 months of the Apprenticeship. The Apprentice must complete 20% off the job training to be eligible for the Apprenticeship.

    Qualifications

    Essential

    • Good standard of general education to GCSE level (or equivalent) to include GCSE in English and Maths at Grade 4/Grade C or above


    Desirable

    • RSA1 or similar IT qualification


    Previous Experience

    Essential

    • Keyboard/Word Processing experience
    • Work experience (paid or voluntary)
    • Microsoft Office software experience


    Desirable

    • Customer Care experience
